File scanning can prevent irreparable loss

Losing personal documents or important files is a situation that can cause several problems. It is possible to list numerous situations that can lead to the loss of documents, such as: accidents, natural disasters, forgetfulness, theft, the list of possibilities is incalculable and can happen to any person or company.

As a consequence, in addition to going through bureaucratic processes to obtain new documents, there are still those that may not be recovered, causing irrecoverable losses and damages. However, currently, through technology, there are means available to prevent most of these scenarios, for example, scanning any file.

For Sandra Galvez, Marketing Manager LATAM at Kodak Alaris, a brand specialized in the development of printing technologies, scanning is one of the most accessible ways to preserve files and documents. “In addition to being able to store scanned documentation anywhere, they can also be stored in the cloud, which allows access from any electronic device whenever necessary”, she comments.

cloud storage

Regarding the possibility of saving in the cloud, Sandra adds that in the corporate environment, digitization is also a trend. “Organizations have been looking for security in storage and agility in processes, and that is why they use software in the cloud”.

In the Annual Cloud Use Survey, carried out by Denodo, it pointed out that companies are willing to improve the use of their data and see cloud sharing as a possibility to maximize their systems.

In the same survey, it was shown that the use of this tool by companies continues to rise, with 54% of respondents stating that they are at an intermediate or advanced level of use of this technology.

What can be scanned?

Sandra points out that scanning and saving documents in the cloud are essential measures, not only to keep this data available whenever necessary, but also to share information, whether within a corporation or even on a personal level, with family and friends.

A priori any document or file can be digitized. Sandra highlights the importance of digitizing some more specific documents, which deserve special attention, so that they are not lost in unforeseen events of different natures:

  • Inventories;
  • Bonds and stocks;
  • Bank and retirement account information;
  • Insurance policies and valuations of expensive items;
  • Proof of ownership of investments and real estate;
  • Tax returns;
  • Copies of passports, birth certificates and marriage certificates.
